Automatic attendance notification emails

Folks,

I'm curious if a system to send system emails could be setup to automatically send a warning notifier to students and/or administrators when students miss a certain number of classes, in a similar way to how it notifies lecturers when classes are Added/Dropped.

There would need to be a setup block to specify the limits, as each institution has different attendance policies, but I suspect it could save our admin staff a lot of time searching through attendance records, totting up who has missed how many classes, and sending out warnings each week.

Let me know if you think this could be done, and we can chat a bit about exact design!

I am not sure we want to add automatic emails for absences.  Potential repetitive emails, for each additional absence, etc. But, here is what I have done:

  • Added Max Missed Classes to Each Term in Student > Administration > College Terms
  • Added Override Max Missed Classes to Each Class.
  • On the different portals, where attendance totals show, if class max absences is filled in  and their absent total is greater than that or if it is not filled in and the term max absences is filled in and they are over that, a message will show ‘Over Max Absences’
  • In Advanced Queries/Report Configuration on your development system, I have set up a couple different reports as an example of what can be done.  On qClass, Attendance over Limit and on qStuEnr, Students with Attendance Over Limit for Selected Year.  This way you can get all students with overages or classes with students that have overages.
    • You can use these as an example to how to set these up on the live system once your system has been updated with the latest version.
    • You can also under Advanced Query for qStuEnr, create a Recurring Contact List for ‘Students with Attendance Over Limit for Selected Year’, and then load that contact list in student and create emails for those students from there.
  • Play around with this on your development server and see if this will work for you or if you want to see changes
