LKH - New Report for Student Accounts

We have not yet had our finance office integrate with GNECsis (as we are SAGE users) and it would be really helpful if we could have a report put together than I can pull off and pass to them for student fees. Ideally with the capacity to download it as an Excel file, and to be able to search by transaction date/period (similar to the Transaction Search option in Student Accounts>Billing>Transaction Search.

We would need the following report headers;

Given Name, Family Name, Student Campus, TRCode, Transaction Date, Transaction Description, Amount, Student Address, Student Postcode, Student Email.

As I am unfamiliar with the design of custom queries, I am currently unable to do this.

Any assistance that can be offered in the creation of this report would be greatly appreciated.

Have you investigated the options currently available in Posting?  If you go to Student Accounts > General Ledger > Post Transactions. 

  • Search for the time frame you want to post
  • Click Aggregate to group the transactions up.
  • You can choose Excel Summary, Quickbooks, or Sage.  Sage was created for you all, but not sure if this was ever finalized.  Try this option.  

This process will create a file, and mark all transactions in that file as "posted" so they can not be changed in the system anymore.  If they need to be changed, it will make a new transaction to offset.  If you wish to recreate a file that you previously created, go to StudentAccounts > General LEdger > Recreate Posting File.  Select the date/total you wish to recreate.  This will not change transactions, just recreate the file.  Here you can do excel summary, excel detail, or sage.  

Please try the sage file, and let us know if this works for you or if you need changes.

Do you have access to System

Do you have access to System Administration?  If so, go to groups, click on the group you are in, and activate the general ledger section of student accounts.  If you do not have access to system administration, contact the person in your organization that does.

No information on Excel or Sage report

I've have tried both the Excel and Sage reports from General Ledger and, although the Sage report has the necessary column headings, there is not information listed (blank except for the column headings)

Guess at issue

Creating a Posting is selecting a group of transactions and then generating the file for that group of transactions.  My guess is that you tried to generate a Sage/excel report without having first searched and selected the transactions you wanted included in the posting and thus show up in the Sage/excel report.   

The steps would be to:

1. Search the date range that you want to find transactions that have not been posted. 

2. You can hide transactions that you do not want to show up on the posting.

3. You can click Aggregate to get a summary of the transactions in the lower section of the screen labeled Aggregated. 

4. You can click Excel Summary, Quikbooks, Sage to create the posting. The posted transactions should show up properly on any of the three reports.

No luck

I followed the original instructions from Kindra on how to do this, and repeated the process again this morning to test it out. I'm definitely getting nothing on either Excel or Sage even after Aggregating transactions.

Search and missing GL Accounts

What date range are you using on the search?  Do you get results on the search?  If you dont get results on the search you wont get results on any other step.  So, lets focus on the search first.  Looking at your data, you dont have much recent.  So try back to the beginning of the year.  When I search for 01.01.2020 to 11.09.2020, I get 70 results.  So your data is there.

When I click 'Aggregate' I do get an error.  Looking at your data, I see it is because you dont have any GL Accounts in the system.  You need to enter these into Funds/Accounts/Cost Centers/Chart of Account Entries in the Student Accounts > General LEdger pages.  Then, you need to go to Student Accounts > Administration, and enter a credit and debit account for each transaction code.  Once this is done, you will be able to 'Aggregate' and run the 'Sage' report.  These should be your accounts from your accounting system ideally.  If you dont want to do all of that, you at least need to enter one account and make it the credit/debit account for each transaction code.

Thanks Kindra - I do fine until I hit ' Chart of Account Entires' and then I get this error when I select 'Set'

 

*** Error on action - SET_AutoCode ***
com.quinsoft.zeidon.NullCursorException: Cursor for entity is null EntityDef = nazsis.mGLCEnt.GLChartOfAccounts

 

I've also tried to enter a Chart of Account Entries, and although the system says they already exist, they are not listed.

Chart of Account Set Up

You need to do a one time set up first.  Click on 'CHart of Account Set Up'.  This will let the system know what order the GL Account fields should go in (different per organization) and what symbol should separate them (e.g. a dash, a period).
