Grade Scale Error

Folks,

Good afternoon! I hope you're doing well. 

We have two grades scales set up currently - the NTC Default which applies to Undergraduate and Postgraduate Taught degrees, and goes from 0 - 100 (with A - F marks for legacy!), and also an NTC PhD scale which is only for Postgraduate (Research) Degrees, and has only 'S' and 'U' grades, as this is all that is awarded at PhD level.

The error occurs where we have a student enrolled in a PhD level course, they cannot have grades from the other scale entered for them, even if they take classes from Undergraduate level. So, we might have a PhD student take an Undergraduate Greek class, say, to brush up on their language skills, but no grade can be entered for them. The error shown on the screenshot pops up, whether we try to enter the grade through the Academics > Classes side of things, or through the Student > Schedule and Registration > Update Class Details side with the grade override. So, it appears that the Grade Scale attaches to the student overall rather than the course or class.

Yes, under the current design

Yes, under the current design, the grade scale is associated with the info of the student and not the info of the class/course or enrollment.  I had actually never thought of what you suggested.  If you are interested in this being an enhancement request, I can add it to the list.

I think that will be

I think that will be necessary, as we have students at the moment who are PhD students (or graduates) but are taking some undergraduate classes because they are required for ordination. So, we will need a way to record their grades, which isn't possible at the moment it would seem!

I wonder, could you add a degree track (that doesn't show on the transcript) for an ordination certificate that is at the under graduate level?

We managed to get a fix in for grade entry on class.  It will be in the version that is installed later today.

Hmm, I'm not sure it's quite

Hmm, I'm not sure it's quite taken on the NTC scale - I am still getting the error when I try to add a grade for a student with a PhD-level degree track, even when they have an Undergraduate grade track active.

It seems that currently (even after the update), if a Student has a PhD-level degree track active, grades cannot be entered on Classes of other levels even if there is a Degree Track from that level active.

An example: I am currently trying to add a grade of 68 to student 340000957 for Class PT6370 from 2019-2020 Summer Term. They have a completed PhD Degree Track, and a completed MA Degree Track. I tested adding a dummy Undergraduate Degree track this morning, but no success.

Graduate student taking undergraduate classes

Hello,

I was able to enter the grade with one important change.  (Please look this over as I entered the grade for above students actual record.)

If a graduate student is taking undergraduate classes for graduate credit (meaning it would apply to their graduate degree as either a elective, completion or audit etc you should indicate at the student level that they are taking it for graduate credit.  This is done by going into the students schedule enrollment detail. Edit the class on the student and under Transcript Type Override select Graduate. This will then make the grade scale check against her graduate grade scale for this class.  This will also make the class show up on her graduate transcript where as before the class would show up on her undergraduate transcript. 

MORE DETAIL: The opposite is ALSO true. If a undergraduate student took a graduate course for undergraduate credit they would have the same issue and you would go into the students class detail and select undergraduate as the Transcript Type Override. 

ALTERNATE SOLUTION: If you have courses that are routinely taken by both undergraduate and graduate students you could split the course into a graduate course and undergraduate course and then use the Cross list courses option to tie the courses together.  This will allow graduate students to take the graduate course but it would be one class that would be the crosslisted courses. This should eliminate the need to do the Transcript Type Override.

Excellent, that does seem to work - thank-you, I'll try that if we have this issue in future.

Even better, it seems with the grade entered I can afterwards switch the class to another Transcript type without it disappearing, so that should cover all the bases.
