Degrees and Degree Tracks vs Reports

Hello,

We have a problem with reports. And this affects so much the accuracy of our enrollment report especially. There are three problems:

1. When a students graduate and we change the status to alumni, the degree track does not appear on the report. We need to make it appear even when the student graduated already.

2. There are those who took a degree and did not finish (graduate), then moved on to another degree level. So we put and end on the previous degree. However, whenever we pull out reports, both the degree that was marked ended would appear together with the current one. Is there a possibility to have the ended one get excluded on the report? I see that only the graduated degree is removed from the report.

3. When students upgrade from masters to PHD (graduated with masters and currently enrolled in PHD), their doctorate degree would appear when we generate reports prior to their doctorate enrollment. How can we maintain their degree at these levels accordingly?

I guess what we are trying to achieve is to have the enrollment report bring out the enrollment based on the actual degrees/degree tracks at the time the students took the classes.

If we have this done right, I can have peace that my ten year report is accurate and reliable.

Don't use End Date and Graduation Date together

Currently this report shows all degrees that do not have an end date.  All others should show.  In looking at your data, the reason your report is not showing graduated degrees is because you are currently filling out BOTH the end date and graduation date.  The end date should only be used when they are not finishing a degree.  

The report is designed to show all non-ended degrees.  If the student has graduated, it will show that degree with the graduation Date in parenthesis in order to show when that student finished their degree.  This will give you allt he information you need while still distinguishing graduated vs non-graduated.  

To fix this, I would recommend going doing a search for your graduated students, potentially using the graduation from and to date selection in advanced search.  Then, select all of them, and click update selected.  Then, click "Update Degrees".  This will give you a list of all degrees for each of these students.  Unselect any rows that are not graduated.  Then, on the right, click on the update button next to end date, leaving it blank.  This will clear out the end date while leaving the graduation date.  This will fix points 1 and 3 above.

On point 2, double check that you are filling in the end date for each of those.  You can use the same tool above to bulk update the end date for these.  And these will then be removed from the report.

These fixes will also help everywhere that a degree list is shown for a student, including on student search.
