Good afternoon! Hope you're doing well. How exciting to be the first post in the Admissions forum, my natural home ...
I'm wanting to edit the ProspectEnrollmentCategory picklist. Currently it has the values:
DegreeSeekingFirst
Degree Seeking First Time
Y
DegreeSeekingCert
Degree Seeking Certificate
Y
DegreeSeekTransfer
Degree Seeking Transfer
Y
NonDegreeSeeking
Non Degree Seeking
Y
DegreeSeekingFirstYear
Degree Seeking First Year
Y
DegreeSeekingOther
Degree Seeking Other
N
Now, these don't particularly bear any resemblance to the intention our applicants would have. I would naturally have something like:
1. Casual Study
2. Undergraduate (First)
3. Undergraduate (Succedent)
4. Postgraduate Taught (First)
5. Postgraduate Taught (Succedent)
6. Postgraduate Research (First)
7. Postgraduate Research (Succedent)
Now, I'm a little leery yet of editing picklists greatly, especially considering these are system required fields for enrolling new students. Will I break something if I edit these values, and if so, how can I do so safely?
Finally, what other items does this field link to? For example, if I select 'Degree Seeking Transfer' does that actually flag anything additional in the system, or is it purely a necessary identifying field?

Yes, making changes to picklists could have a big impact on the system. Specifically the system uses the internal values to do a lot of different tasks and logic. If you want to change the external value name, as long as the meaning and use is the same that should be no problems. Some pick list values are not used for any tasks or logic in the code and cause no issues. For example adding a new internal and external value would probably not make an impact on anything.
In this specific case I will look through and see how these are used and let you know what impact if any they will have.
I would encourage you to always post to support if you want to change a picklist internal value so we can give you an idea of what the impact would be.

Excellent, thank-you - I don't need to change them all right now, it's more something I'm working on, so do let me know what system processes they have an effect on, and we'll go from there. I'd rather eventually get rid of all the current ones, so I'll wait until I know a little more rather than just change the display names or create new ones.

The ProspectEnrollmentCategory is a US government reporting value that is reported for all prospects. This field is not currently useful for England schools or probably any where else in the world. There are two Internal values that currently are referenced in the code and thus changing the internal Value could cause a system error. Those are DegreeSeekingFirst and NonDegreeSeeking.
The below grid is what I think could be a good way to change the external values. You are free to add as many additional values as you want. The Internal Value is a text string that looks like it can be safely 22 characters.
Feel free to change them for each of the England schools to be the same at each school.

A follow-up question - I assume that at the moment, the effect it has on the code is to determine which class? Would it be possible, once these are adjusted, to make that useful? For example, if they are "Non-Degree Seeking" then upon admission their class becomes "Pre-Entry/NTC Credit".
Let me know - this isn't urgent, just one of those minor quality of life things to put on the list.

This would be a good addition to the system and I am going to create a feature request for this. In essence there would need to be a mapping that entry classification would auto set student classification based on a map grid. This value will set this value etc.

.. and as an interesting note, it won't let me edit 'DegreeSeekingFirstYear' because the Internal value is over 20 characters - so that's currently the max it will accept, even if 22 is functional!

Looks like our system checks to make sure the internal values would not cause issues.... is causing issues. I will let the developers know!

Added Classification Rules to Admissions > Administration. This will allow you to specify which entrance classification goes to which student classification.
Automatically checks this list first when creating student from prospect, if this new mapping is not entered, previous handling will apply. This is in version 2.46, which is the next version to be installed.

Thank-you! This seems to be working well.
One item that's slightly out-of-whack - if you go to add a new Classification Rule but choose not to and hit 'Return' you get the following error and cannot leave the page:

The value '' is invalid.
--
This necessitates reloading GNECsis.
